Position Overview
The Operations & HR Administrator provides proactive operational, human resources, and administrative support to leadership, employees, the Board of Directors, and daily office operations. This role coordinates leadership support, board and committee needs, human resources administration, office and facility operations, technology coordination, and organizational hospitality. The successful candidate is highly organized, resourceful, service-oriented, and technologically proficient, with the ability to anticipate needs, shift priorities, and independently keep work moving.
Duties & Responsibilities
- Manages office and facility operations, including office supplies, vendor relationships, maintenance needs, technology coordination, mail processing, and general administrative systems.
- Performs as an HR department of one, including but not limited to recruitment activities, HRIS ownership, employee onboarding and offboarding, IT and software provisioning, personnel file management, benefits administration, and annual employee training.
- Provides proactive administrative support to organizational leaders, including travel coordination, meeting preparation, special projects, events, and follow-up.
- Coordinates Board and committee needs, including onboarding/offboarding, general communications, meeting packets, engagement activities, training requirements, and related follow-up.
- Serves as the primary host for visitors and meetings, coordinating meeting spaces, meals, refreshments, and organizational hospitality as needed.
- Provides responsive internal and external customer service through professional written, verbal, telephone, and in-person communication.
- Works with the Volunteer Coordinator to ensure appropriate receptionist and front-office coverage.
- Anticipates leadership and organizational needs, independently resolves routine issues, manages competing priorities, and performs other duties as assigned.
Required Skills & Abilities
- Demonstrated ability to anticipate needs, take ownership, and complete assignments with minimal oversight.
- Strong organizational skills with the ability to manage multiple deadlines, priorities, and interruptions while maintaining accuracy.
- Excellent written, verbal, telephone, and interpersonal communication skills.
- Strong technology proficiency, including Microsoft Office Suite and the ability to quickly learn Habitat’s HR, benefits, document management, and other business systems.
- Ability to exercise sound judgment, maintain confidentiality, and appropriately determine when to escalate an issue.
- Resourceful and solution-oriented with strong customer service and organizational hospitality skills.
- Ability to switch contexts quickly and work effectively with leaders, employees, Board members, volunteers, vendors, visitors, and community partners.
Education & Experience
- Bachelor’s degree in business management or an equivalent combination of education and relevant work experience preferred.
- Five or more years of administrative, office, human resources support, or executive support experience preferred.
- Experience with HR systems, benefits administration, employee onboarding, Board support, or office operations preferred.
Physical Requirements
- Prolonged periods of sitting or standing at a desk and working on a computer.
- Ability to move throughout the office to support visitors, meetings, supplies, equipment, and facility needs.
- Must be able to occasionally lift and carry office supplies, meeting materials, or similar items weighing up to 25 lbs.
- This position is primarily performed on-site at Habitat for Humanity of Greater Fort Wayne.
